Invite an Employee to the Portal
The Employee Portal gives your employees 24/7 self-serve access to their own pay stubs, T4s, and vacation balance — no more emailing you for a copy of last year's T4. This page covers how to invite employees and manage their portal access from their profile.
📋 Inviting an Employee
Open the employee's profile and find the Employee Portal Access card.
Click Invite to Portal to send them an activation email.
Note: Invite active employees, or past employees who still need access to their historical pay stubs and T4s.
The invite link is valid for 60 days. If it lapses before they activate, you'll see Invite expired and can click Resend Invite.
Employees activate with no password — they sign in with Google, or request a one-time link sent to their email.
🔑 Understanding Portal Status
The Employee Portal Access card always shows one of five statuses:
Not invited — you haven't sent this employee a portal invite yet.
Invite sent — waiting to be activated. You can Cancel Invite here if you sent it by mistake.
Invite expired — 60 days passed with no activation. Click Resend Invite.
Portal active — the employee has signed in and can access their pay info any time.
Access revoked — you manually cut off access (see below). Click Re-invite to let them back in.
🔒 Revoking Access
You generally don't need to do anything when an employee is terminated — they can still sign in to view past pay stubs and T4s, which is exactly what they'll need at tax time.
Only revoke access if the employee's email changed in Province Payroll, or you suspect their account has been compromised.
Click Revoke Portal Access to cut off future sign-ins.
Note: Any session they're already signed into stays active for up to 30 minutes before it's fully cut off.
